Bin Location Tracking: Receive and Release Items in QuickBooks Enterprise

Introduction

Efficient inventory management is vital for businesses, especially those dealing with multiple locations. QuickBooks Enterprise Multi-Location Inventory streamlines this process with advanced features like bin location tracking, allowing businesses to manage items within specific areas of a warehouse, such as rows, shelves, or bins.

In our previous blogs, we covered enabling multi-location inventory and setting up inventory reorder points. Now, we’ll dive into receiving and releasing items in QuickBooks Enterprise, leveraging bin location tracking to ensure precise inventory control.

Bin Location Tracking

Bin Location Tracking allows you to pinpoint the exact placement of inventory items within a warehouse, such as rows, shelves, or bins. It provides precise location details across multiple sites, showing quantities, serial numbers, and lot numbers on forms. This feature helps streamline pick lists, optimize transactions, and ensure efficient organization within your inventory sites.

Receiving Items into Inventory and Bin Locations

1. Go to receive inventory with or without a bill.
2. Enter in your vendor name. We’ll enter Foster Lighting.
3. Choose the open PO or enter the bills information if no PO is entered.
4. I’ll choose the PO in this case.
5. Enter the site and bin location of each item.
6. If it’s the same site for each item choose to use the site on all inventory items for a fast entry.
7. Since the only bin location is unassigned at this time it automatically shows up as unassigned. Click on the arrow to show the amount currently on hand.
8. Then save the bill.

Releasing Items from Inventory and Bin Locations

1. Go to Create Invoices.
2. Enter the customer name and pertinent information.
3. Enter the items or choose a sales order.
4. I will enter the item I know we entered.
5. I will choose to sell 5. Click in the blue box to see the quantity on hand by inventory site.
6. Choose the site and bin location to release the quantity from. If there isn’t enough quantity on hand you will get a popup warning about negative inventory.
7. Choose save once finished.
8. Let’s select the blue box and we can see that the quantity has decreased by 5.
9. Close once finished.

Items by Bin Location

The Items on Hand by Bin Location allows you to view what items are in each bin location and the quantity on hand.

1. Go to reports at the top of the toolbar.
2. Choose Inventory
3. Select Items by Bin Location
4. Choose your inventory site.
5. Your bin locations will be grouped by your bin location showing the inventory item, description and quantity on hand within that bin location.

Sorting Pick Lists by Bin Location

One pretty cool feature with bin locations is that you can sort transaction rows by bin location on forms.

1. First, you need to turn on sorting on transaction forms in Preferences. Go to Edit at the top of the toolbar Preferences > General > Company Preferences tab. Check Allow sorting on transaction forms.
2. Customize transaction templates to sort items by bin location.
3. Click the Bin column header on forms to sort items for efficient picking.
